Most leads aren’t lost to a better offer. They are lost to silence: a slow first reply, then no second message. Here is a simple 7-day follow-up plan, 12 messages you can copy, and how to make follow-ups happen without anyone having to remember them.

Why leads go cold

When someone enquires, they are interested right then. They have also usually asked two or three other businesses the same question. If your first reply is slow, or vague, or never followed up, the lead doesn’t say no. They just drift towards whoever made the next step easy.

Follow-up is not about chasing. It is about staying helpful until the person is ready to decide, and making that decision one tap away when they are.

The 7-day follow-up plan

WhenWhat to sendGoal
Within minutesAnswer the question, then ask one of yoursStart a conversation
Same day, a few hours laterA short nudge with one useful detailGet a first reply
Day 1Something valuable: brochure, price list, available slotsHelp them decide
Day 3A specific check-in questionBook the next step
Day 7A polite last messageGet a clear yes or no
After thatOccasional updates, only if they opted inStay remembered

Adjust the gaps to your business: a ₹500 order moves faster than a ₹50 lakh flat.

Rules for follow-ups that work

  • Be fast first. The first reply matters most. A quick, specific answer beats a perfect one sent tomorrow.
  • Add something new every time. A price, a photo, a slot, an answer to a doubt. Never just “checking in”.
  • Ask one easy question. “Does Saturday or Sunday suit you?” gets more replies than “Let me know”.
  • Use their name and their words. Refer to exactly what they asked about.
  • Switch channels if needed. After two unanswered messages, a short call can work.
  • Stop the moment they reply, and never message someone who has said no.

Following up on WhatsApp

In the free WhatsApp Business app, you can send follow-ups yourself whenever you like. Labels and quick replies help, but you still have to remember who to message and when.

On the WhatsApp Business API, follow-ups can run automatically, with one rule to know: you can reply freely for 24 hours after the lead’s last message. After that, follow-ups must use message templates approved by Meta, and nudges towards a purchase are usually charged as marketing messages. Our WhatsApp API pricing guide has the current rates.

Tracking follow-ups

If you are starting with a spreadsheet, keep one row per lead with these columns. The two that matter most are the next follow-up date and the stage.

ColumnExample
Name and phonePriya Sharma, +91 98xxx xxxxx
SourceInstagram ad
Asked about2BHK in Baner, ₹1–1.5 Cr
Last contact6 October, sent brochure
Next follow-up8 October, ask about Saturday visit
StageNew → Talking → Visit booked → Won / Lost

A spreadsheet works until it doesn’t: once a few people share the leads, or enquiries arrive on three channels, a CRM that records every conversation automatically saves the follow-ups that would otherwise slip.

Automating lead follow-up

Automation doesn’t mean sending more messages. It means the right message goes out on time, every time, and stops the moment a person should take over.

An automated sequence runs on schedule and stops itself when the lead replies, so a salesperson can step in.

What a good automated follow-up does

  • Replies to every enquiry within seconds, on WhatsApp, Instagram and your website.
  • Sends each follow-up on schedule, with the details the lead actually asked about.
  • Stops instantly when the lead replies, books or says no.
  • Alerts the right salesperson with the whole conversation, so nobody asks the same question twice.
  • Logs everything in your CRM, so you can see which follow-up step wins the most sales.

Frequently asked questions

How many times should I follow up with a lead?

Usually four or five times over a week or two: an instant reply, a nudge the same day, something useful on day 1, a check-in around day 3 and a last message around day 7. After that, move them to an occasional update, if they agreed to hear from you.

How soon should I reply to a new enquiry?

As fast as you can, ideally within minutes. The person is thinking about your product right now, and they have probably messaged other businesses too.

Is it rude to follow up when a lead doesn’t reply?

Not if every message is short, useful and specific to what they asked. What feels pushy is repeating “just checking in” with nothing new to say.

Should I call or message?

Start with a message, because it is easy to answer at any time. If two messages go unanswered and the lead looked serious, a short call often works, especially for bigger purchases.

Can I automate lead follow-up on WhatsApp?

Yes, with the WhatsApp Business API. A system sends each message on schedule, stops the moment the lead replies and alerts a salesperson. Follow-ups sent more than 24 hours after the lead’s last message must use pre-approved templates.
