Most policies that lapse were never meant to. The customer forgot, the auto-debit failed, or the reminder came too late. Here is a simple renewal schedule, the grace-period rules that decide how urgent each reminder is, and 15 renewal messages for WhatsApp, SMS and email that you can copy today.

Why policies lapse

Renewals are the cheapest business an insurance agent or broker will ever win: the customer already trusts you and already has the policy. Yet renewals slip through every month, usually for ordinary reasons:

  • The date sneaks up. A policy renews once a year, and nobody keeps that date in their head.
  • The reminder came from a stranger. A generic insurer email lands in spam or gets ignored.
  • The premium went up. The customer saw a higher number, meant to ask about it, and never did.
  • Paying took effort. Finding the policy number, the portal and the password is enough friction to put it off.
  • Nobody followed up. One reminder went out, and the agent was busy with new clients when it mattered.

A good renewal sequence fixes all five: it starts early, comes from you, explains the premium, puts the payment one tap away, and keeps going until the policy is renewed or the customer asks for a call.

Grace periods by policy type

How hard you push near the deadline depends on what the customer loses if they miss it. In India, it differs a lot by policy:

Six rules for reminders that renew

  • Be specific. Name the policy, the vehicle or the people covered, the renewal date and the premium.
  • Make paying one tap. Every reminder after the first should carry a payment link.
  • Explain a higher premium before they ask. An age-band change or a new add-on is easy to accept when it is explained, and a reason to shop around when it isn’t.
  • Always offer a person. “Reply CALL” turns a doubt into a conversation instead of a lapse.
  • Only message customers who agreed to it, about policies they hold with you, during working hours.
  • Stop the moment they pay, and send the policy copy with a thank-you.

Before the renewal date

SMS and email versions

Some customers don’t use WhatsApp, and an email gives them something to file. Keep the SMS short; put the detail in the email.

Running renewals automatically

With a handful of policies, a calendar and the templates above are enough. With a few hundred, reminders get missed. The fix is to let a system send each message on time, stop the moment a customer pays, and hand you only the people who want to talk.

Sample data: a month of renewals running on their own. Payments stop the reminders, and a request to talk becomes a call on the agent’s list.

What it costs

  • WhatsApp Business app: free, but you send each reminder by hand.
  • WhatsApp Business API: a reminder about the customer’s existing policy is usually a utility template, at ₹0.115 per message in India plus GST. Five reminders for one policy cost well under ₹1.   • SMS: priced by your SMS provider, and every template, sender header and link has to be registered on DLT first.
  • Email: close to free at this volume, but the least likely to be read in time.

Mistakes to avoid

  • Starting a week before expiry. There is no room left for a customer who wants to compare or talk.
  • The same message for every policy. A lapsed car policy and a health policy in grace need very different words.
  • Hiding a premium increase and hoping nobody notices. They will, usually after they have bought elsewhere.
  • Mixing an upsell into the renewal reminder. It confuses the customer and turns a utility message into a marketing one.
  • Sharing policy details in a group chat, or with anyone except the policyholder.
  • Reminding after they have paid. It makes a good customer wonder if the payment went through.

Frequently asked questions

When should I send an insurance renewal reminder?

Start 30 days before the renewal date, then send reminders 15 days, 7 days and 1 day before. For car and bike policies the last two matter most, because cover stops the moment the policy expires.

Is there a grace period for car insurance in India?

No. Motor cover ends on the expiry date. If you renew within 90 days of expiry you usually keep your no-claim bonus, but you are not covered in between, and driving without at least third-party cover is against the law.

What is the grace period for health insurance renewal?

Under IRDAI’s 2024 master circular, 30 days for yearly, half-yearly and quarterly premiums and 15 days for monthly premiums. Renewing within it keeps your waiting-period credit and no-claim bonus. Whether a claim during the grace period is paid depends on your policy wording.

Can I send renewal reminders on WhatsApp?

Yes, to customers who gave you their number and agreed to hear from you about their policy. On the WhatsApp Business API, a reminder about an existing policy is usually approved as a utility template, the cheaper category.

Do I need DLT registration for renewal SMS?

Yes. In India, business SMS must be sent from a registered header using a template registered on a DLT platform, and links inside the SMS must be whitelisted. Your SMS provider helps you register.
