Chasing payments is the most awkward part of running a business. A good reminder makes it easy for both sides: polite, specific, and one tap away from being paid. Below are 15 WhatsApp payment reminders you can copy, sorted by when to send them, plus how to stop sending them by hand.
Why WhatsApp reminders work
Most customers who pay late are not avoiding you. They forgot, the invoice got buried in email, or paying meant opening three apps. WhatsApp fixes most of that: the message lands where they already are, it is read quickly, and a payment link inside the message turns “I’ll do it later” into a ten-second job.
Six rules for reminders that get paid
- Be specific. Always mention the invoice number, the amount and the due date. “Please clear your dues” gets ignored; “Invoice #1042 for ₹4,500 is due Wednesday” gets paid.
- Make paying one tap. Put a payment link or your UPI ID in every reminder.
- Keep it short. Two or three lines. The customer should understand it in a glance.
- Escalate the tone slowly. Start friendly and become firmer only as the invoice gets older.
- Time it well. Working hours on working days, never late at night.
- Say thank you. Confirm the payment and send the receipt. It makes the next invoice easier.

Sending reminders at scale
In the free WhatsApp Business app
Save your most-used reminders as quick replies (for example /due and /late) and add a “Payment due” label to customers who owe you. It is quick for a handful of invoices, but you still have to remember who to message and when.
With a payment link in every message
Most payment gateways can create a payment link for each invoice, and you can also share your business UPI ID. Put it in the message so the customer never has to ask “where do I pay?”.
Automatically, on the WhatsApp Business API
The API lets a system send each reminder on schedule as an approved message template, track who has paid, stop the moment a payment arrives, and send the receipt. Reminders about an existing invoice are typically approved as utility messages, which Meta prices well below marketing messages. See our guide to WhatsApp Business API pricing in India for the exact rates.
Mistakes to avoid
- Vague messages without the invoice number or amount.
- Reminding every day. Space them out and switch to a call after three or four.
- Messaging late at night or on festival days.
- Threatening language or posting about dues in a group. It damages the relationship and can create legal trouble.
- Forgetting to stop reminders once the customer has paid. Nothing annoys a good customer faster.
Frequently asked questions
Is it okay to send payment reminders on WhatsApp?
Yes, to customers who gave you their number for the purchase or service. Keep reminders about the specific invoice, polite and during working hours. On the WhatsApp Business API, you also need the customer’s opt-in to receive messages from you.
How many reminders should I send?
Usually three or four, spaced out: a heads-up before the due date, one on the day, and one or two after. If that doesn’t work, switch to a phone call rather than sending more messages.
What time should payment reminders go out?
During working hours, ideally mid-morning. Avoid late evenings, weekends for business customers, and festival days.
Can I schedule reminders in the free WhatsApp Business app?
Not automatically. The app has quick replies and labels to speed things up, but you still send each message yourself. Scheduled, automatic reminders need the WhatsApp Business API with a tool on top.
Should I share bank details in the message?
A payment link or your business UPI ID is safer and faster than typing bank details. It is also harder for someone to tamper with, and it lets you track who has paid.
