WhatsApp appointment booking: let customers book, confirm and reschedule in the chat

Three ways to take bookings on WhatsApp, reminders that cut no-shows, 8 booking messages to copy, costs in India and how to set it up.

Your customers already message you on WhatsApp to ask for a slot. Here is how to let them book, confirm and reschedule right there in the chat, with reminders that cut no-shows, plus eight messages you can copy and what it costs.

Why take bookings on WhatsApp

  • No app, no login. Customers book where they already chat with you.
  • No phone tag. Nobody has to call during working hours and wait on hold.
  • Reminders actually get seen. A WhatsApp message is far harder to miss than an email.
  • Rescheduling is one tap, so people move their slot instead of silently not turning up.

Three ways to take bookings on WhatsApp

OptionHow it worksBest for
WhatsApp Business app (manual)You reply with free times, then add the booking to your calendar yourselfA few bookings a day
Booking linkYou send a link to an online booking page; the customer books thereSimple services with fixed slots
Booking assistant on the APIFree slots appear as buttons in the chat; bookings, reminders and changes happen automaticallyClinics, salons, institutes and anyone with many bookings

1. Manually in the WhatsApp Business app

Save your timings and booking message as quick replies, use labels such as “Booked” and “Reminder due”, and keep your calendar open next to the chat. It is free and works well until you have more than a handful of bookings a day, or more than one person taking them.

2. A booking link

Many calendar tools give you a booking page. Sending its link on WhatsApp saves typing, but the customer has to leave the chat, and many don’t finish booking on an unfamiliar page.

3. A booking assistant on the WhatsApp Business API

The customer stays in the chat. The assistant reads your real availability, shows free times as tap-to-reply buttons or a list, confirms the booking, writes it into your calendar or software, and sends the reminders. WhatsApp also supports simple in-chat forms, called WhatsApp Flows, for collecting details such as name and service in one step.

Reminders that cut no-shows

Most no-shows are not people being rude. They forgot, or something came up and cancelling felt like effort. A reminder with a Reschedule button fixes both, and it turns a lost slot into one you can give to someone else.

Reminders go out, most people confirm, one reschedules, and the freed slot goes to the waitlist instead of sitting empty.
  • Send one reminder the day before and one about two hours before.
  • Include the day, time, place and the person they are seeing.
  • Add buttons: Confirm, Reschedule, and for some businesses, Cancel.
  • Keep a short waitlist and offer freed slots to it straight away.

Booking ideas by industry

  • Clinics and dentists: book, remind, and recall patients when their next check-up is due.
  • Salons and spas: show the stylist’s free slots and take a small advance with a payment link.
  • Coaching institutes: book free demo classes and counselling calls from Instagram and WhatsApp enquiries.
  • Real estate: book site visits and send the location pin on the morning of the visit.
  • CA firms and consultants: book consultations and send the document checklist with the confirmation.
  • Car service centres: book service slots and send a reminder when the next service is due.

What WhatsApp booking costs

In the free WhatsApp Business app, there is no message charge. On the WhatsApp Business API, booking replies inside the 24-hour window are service messages, with the first 1,000 a month on each number free. Reminders sent later are template messages, usually utility, at ₹0.115 each in India plus GST.

Example: a clinic with 600 appointments a month sends two reminders for each, 1,200 reminders in total. That is about ₹138, or roughly ₹165 with GST, to Meta. See our WhatsApp API pricing guide for the full rate card and a calculator.

How to set up WhatsApp booking

  1. 1Decide what can be booked: services, how long each takes, who provides it and your working hours.
  2. 2Put your availability in one place, such as Google Calendar or your clinic or salon software.
  3. 3Get your number on the WhatsApp Business API and verify your business with Meta.
  4. 4Create reminder templates (day before, two hours before) and submit them for approval.
  5. 5Connect a booking assistant that reads free slots, books, reschedules and cancels, and writes back to your calendar.
  6. 6Ask customers to opt in to reminders when they book, and test the whole flow with your team.
  7. 7Go live, then watch confirmations, reschedules and no-shows for the first few weeks and adjust timings.

Mistakes to avoid

  • Offering slots from memory instead of the real calendar, which leads to double bookings.
  • Reminders without a Reschedule button. People who can’t reschedule easily just don’t come.
  • Sending reminders late at night or too many times.
  • Leaving freed slots empty when there are people waiting for one.
  • Collecting sensitive health details in chat that you don’t need for the booking.

Frequently asked questions

Can customers book appointments on WhatsApp automatically?

Yes, with the WhatsApp Business API. A booking assistant can show real free slots as buttons or a list, confirm the booking, add it to your calendar and send reminders. The free WhatsApp Business app can take bookings too, but you reply and update the calendar yourself.

How many time slots can I show in one WhatsApp message?

WhatsApp allows up to three tap-to-reply buttons in a message, or a list of up to ten options. For more choice, ask for the day first and then show that day’s times.

Are appointment reminders on WhatsApp free?

In the free app you send them yourself at no charge. On the API, reminders are template messages, usually in the utility category, at ₹0.115 each in India plus GST.

When should I send appointment reminders?

A good default is one reminder the day before and one a couple of hours before, each with buttons to confirm or reschedule. Avoid late-night messages.

Can WhatsApp booking work with Google Calendar or my clinic software?

With the API, yes: the booking assistant reads free slots from your calendar or software and writes the booking back, so you never double-book.
