WhatsApp Business app vs API: which one does your business need?

The free app and the API side by side: features, limits, costs, using both on one number, and four questions that decide it.

WhatsApp gives businesses two very different tools with almost the same name: the free WhatsApp Business app and the WhatsApp Business API. One is an app you install on your phone. The other is a connection that lets software, a team and AI handle your chats. Here is how they differ, what each costs, and how to tell which one your business needs.

The short answer

  • Choose the WhatsApp Business app if one or two people reply to customers from a phone and the volume is manageable. It is free and takes five minutes to set up.
  • Choose the WhatsApp Business API if several people need to share the inbox, you want automated or AI replies, chats should flow into your CRM, or you need to message customers at scale.

What the WhatsApp Business app does well

For a small business, the free app covers a lot. It is a separate app from your personal WhatsApp, and it gives you:

  • a business profile with your address, hours, email and website;
  • a catalogue of products or services that customers can browse inside the chat;
  • greeting and away messages, and up to 50 quick replies;
  • up to 20 labels to sort chats, such as “New lead” or “Payment due”;
  • broadcast lists to message several customers at once;
  • click-to-WhatsApp ads on Facebook and Instagram, created from inside the app.

Where the app runs out

  • One phone, a few devices. The free app runs on one phone plus up to four linked devices. More devices and named agents need a paid Meta Verified or Meta One plan, up to 10 devices depending on the plan.
  • Broadcasts only reach people who saved your number, and some countries now cap free broadcasts each month.
  • No connection to your other software. Chats stay in the app. Nothing flows into your CRM, sheet or booking system automatically.
  • Fixed auto-replies. Greeting and away messages send the same text to everyone, whatever they asked.
  • It depends on the phone. Linked devices log out if the main phone isn’t used for 14 days.

What the WhatsApp Business API adds

The API, which Meta calls the WhatsApp Business Platform, has no app of its own. Your number connects to software, usually from a Meta partner, and that software is what your team uses. That is what makes these possible:

  • A shared team inbox, where chats are assigned to the right person and nobody replies twice.
  • Chatbots and AI assistants that answer the actual question, qualify the lead and book the visit.
  • CRM and workflow connections, so every chat becomes a lead record and every payment updates the invoice.
  • Message templates to reach customers who opted in, even when they haven’t written to you in the last 24 hours: reminders, order updates, OTPs and offers.
  • Room to grow. A new account can start conversations with 250 customers a day. That rises to 2,000, 10,000, 100,000 and then unlimited as your business is verified and your messages stay high quality.
  • An Official Business Account (the blue tick) for verified businesses that have been on the platform for at least 30 days.
Inside the 24-hour window you can reply freely. After it closes, only approved templates can reach the customer.

What the API costs

Meta charges for each message your business sends on the API, based on its category. In India, a marketing message costs about ₹0.86 and a utility or authentication message ₹0.115, before GST. Service replies inside the 24-hour window are free for the first 1,000 a month on each number. Providers add a monthly subscription and often a small mark-up per message.

Which one do you need?

Four questions decide it. If you answer yes to any of them, the API is worth a look.

Can you use both on one number?

Yes. Meta calls it coexistence, and Indian numbers have been eligible since 5 May 2025. You keep the WhatsApp Business app on your phone, and the same number is connected to the API for your team inbox and automation. Messages are mirrored both ways, and the messages you send from the app stay free.

What to know before you turn it on

  • You can only set it up through a Meta partner, and your app needs to be up to date.
  • Up to six months of chat history and your contacts can be synced, but group chats are not.
  • Broadcast lists in the app are switched off, and disappearing messages and view once stop working in one-to-one chats.
  • Open the app on your phone at least every couple of weeks, or the connection can drop.

Moving from the app to the API

  1. 1Back up your chats in the WhatsApp Business app, just in case.
  2. 2Choose a Meta partner (a provider) that supports coexistence, so you keep the app and your chat history.
  3. 3Connect your number through the partner’s sign-up flow and verify your business with Meta.
  4. 4Create and submit your message templates for approval.
  5. 5Set up your shared inbox, chatbot or AI assistant, and test it before customers see it.

Without coexistence, you have to delete the WhatsApp Business app account on that number before moving it to the API, and the chat history on the phone is lost.

Frequently asked questions

Is the WhatsApp Business API free?

No. The app is free, but on the API Meta charges for messages your business sends, by category, and most providers add a monthly fee. Messages customers send to you are free.

Can I use the WhatsApp Business app and the API on the same number?

Yes, with coexistence. Indian numbers have been eligible since May 2025. You set it up through a Meta partner, keep using the app on your phone, and the API runs alongside it.

Do I need to verify my business to use the API?

Not to start. Without verification you can start conversations with up to 250 customers a day and register two phone numbers. Verifying your business with Meta, using official business documents, lifts those limits.

Will I lose my chats if I move to the API?

Not if you use coexistence: up to six months of chat history can be synced. If you move a number fully to the API without coexistence, you must delete the app account first and the chat history on the phone is lost, so back it up.

Can I get the green or blue tick on the WhatsApp Business app?

On the app, the verified badge comes with a paid Meta Verified subscription. On the API, businesses can apply for an Official Business Account once they are verified and have used the platform for 30 days.
